Accounts Payable Clerk

What’s the job?

The Accounts Payable clerk is a member of the Accounts Payable team who are responsible for accurate and timely vendor and employee payments. The role includes data entry, seeking necessary approvals and performing pay runs, corresponding with vendor and employees to resolve queries, performing reconciliations and resolving identified imbalances, preparing accounts payable reports as well as delivering other accounts payable procedures. 


What you’ll get to do:

  • Timely and accurately capture vendor invoices and employee expense claims in the accounting system.
  • Match vendor invoices with purchase orders; review the accuracy of back-up documentation and follow-up to correct errors or omissions; review account coding; review posting reports and make corrections where necessary.
  • Ensure foreign exchange for USD vendor invoices are appropriately accounted for.
  • Prepare cheques, wires or electronic funds transfer (CAFT) payment consistent with established accounting and payment processing procedures, rules, instructions and policies. Seek appropriate approvals where necessary and verify appropriate discounts were received.
  • Manage incoming and outgoing email communications to Coasts Accounts Payable email accounts.
  • Independently verify changes to vendor accounts.
  • Maintain Accounts Payable filing system and other related files.
  • Discuss payment and invoice problems with vendors, suppliers and branch personnel and follow-up to resolve problems in a timely and professional manner.
  • Ensure that daily deposits are made appropriately and accurately.
  • Reconcile vendor accounts; balance the accounts payable sub-ledger to the general ledger; and follow-up to correct identified imbalances.
  • Prepare accounts payable system reports.


Who are we looking for?

  • Minimum 2 years of experience in a computerized accounting environment with a proficient knowledge of PC’s and application programs such as Word and Excel, plus a basic understanding of accounting software.
  • Minimum 2 years of experience in processing accounts payable/receivable and basic general ledger tasks.
  • Detail oriented - accurately capture a high volume of data meeting tight deadlines.  
  • Ability to communicate well verbally and in writing.
  • Ability to effectively multi-task, time management skills and prioritize.
  • Excellent team player.
