Job Purpose
The Privacy Specialist manages access requests, triages and investigates privacy incidents and complaints conducts research, develops education tools and resources, facilitates training, supports operational procedures, handles day-to-day compliance with privacy obligations and ensures proper documentation of requirements.
The role operationalizes policy and procedure governance requirements, handles administrative tasks of the Privacy Office, conducts low-risk privacy impact assessments, provides advice to our business lines and supports risk management.
Accountabilities
- Supports day-to-day operations of the Central Privacy Office, including inbox management and other administrative duties.
- Handles and tracks all incoming requests to the Privacy Office, including access, deletion, and opt-outs. Liaises with the appropriate business units to obtain the relevant information and respond promptly and under regulatory requirements. Supports the Director with responses to OPC or other privacy commissioner requests and complaint investigations.
- Tracks, assesses, investigates and responds to privacy incidents and complaints, escalating where required due to risk. (Includes containment, management, risk assessment and notification if required, training plan and HR reporting, as necessary).
- Maintains accurate record-keeping to meet regulatory requirements.
- Supports Director, Privacy, as required, on new strategic initiatives and revising/enhancing business processes and procedures to appropriately reflect existing, changing or new regulatory requirements and to ensure that privacy risks are identified and mitigated.
- Monitors legislative changes on OIPC/OPC sites for regulatory guidance and regulatory changes, ensures the Privacy Team and Privacy Reps are aware of any updates, and conducts legal and industry-specific research for the Privacy Office.
- Prepares and maintains ongoing education and training materials and communication for all Privacy Reps, including maintaining the MyCoast Page, as well as prepares and maintains ongoing training materials for the organization, liaising with the Organizational Learning team to ensure that Privacy training on the LMS training platform is current and completed by all employees.
- Supports and monitors the development of internal procedures for the business units to ensure compliance with Privacy.
- Policies/Procedures.
- Supports enterprise-wide adherence to the Privacy Corporate Procedures, as well as provides guidance to Business Units on these Procedures.
- Supports the Director and CPO with tactical implementation of privacy program initiatives and organizational strategic initiatives, as needed, including conducting low-risk privacy impact/vendor assessments and assisting with GRM and board reporting.
Skills and Qualifications
- High School and a Diploma
- Specialized Certification/Professional Designation: CIPP/C or AAPP, CAPP or MAPP (nice to have)
- 4 - 6 years of professional experience and relevant work-related experience in Risk Management/Legal/Data Security may be considered.
- Problem-solving experience (e.g. conducting analysis/investigation/identifying action items). Previous experience with privacy legislation, other legislation, compliance risks or other operational risks are an asset.
- Conceptual and practical understanding of operational risks/prevention strategies applicable to financial institutions (across all business units and channels of delivery
- Comfortable handling highly confidential and sensitive information
- Strong problem-solving and decision-making skills and the ability to work autonomously
- Strong verbal and written communication skills
- Ability to work with various levels of employees (up to the Executive level)
- Strong record-keeping skills and analytical skills
- Proactive thinker to recognize risk and escalate as appropriate
