Job Purpose

 

Reporting to the Director of Real Estate and Physical Security, this position fulfills a strategic corporate role working with the team responsible for construction, corporate real estate, facilities, leasing, physical security and strategic sourcing of products, services and supplies for Coast Capital and its subsidiaries. The role is responsible for supporting 45 branches and 10 administrative offices across British Columbia. The role requires regular interaction with managers, directors, senior management and outside contacts. This individual works in a high-paced environment which includes time sensitive deadlines and requires strong attention to detail. This individual will develop specialized knowledge required for functions related to contracts, Facilities and Procurement policies and systems such as Navision (NAV), OneSpan, Process Unity, SharePoint, PowerBI, and ServiceNow. The role will also support the Strategic Supplier Sourcing team with a variety of administrative and procurement activities.

 

Accountabilities

 

  • Real Estate Lease Administration - managing lease database; preparing & sending notifications to landlords; managing centralized mailbox; managing lease tracker, key dates and contacts; monitor blanket purchase order tracker and ensure Insurance and WorkSafe certificates are current; support the Real Estate & Facilities Management Team.
  • Lease Contract Management – oversight of all Lease, Sublease contracts and related renewals, amendments, title registrations, notices, property owner requests, estoppel certificates, disputes processes, internal/external legal reviews, other administration and contract execution that meets all Coast Capital Policies; obtain copies of contracts or documents from repositories.
  • Lease Financing Support – working with the Lease Finance Team to validate lease rates against contracts; send invoices and annual reconciliations from landlords.
  • Sourcing Administration – responsible for monitoring the purchase order queue, reviewing statements of work, releasing purchase orders, preparing purchase requisitions, managing the contract signing process in according to the Coast Capital spending and binding matrix. Sources and places orders for various products and services for the branches, department as well as the wider organization, and serves as a back-up to sourcing leads and leads basic procurement projects. Approve select supplier invoices, investigate Accounts Payable (AP) inquiries, update AP with supplier contacts, support financial reconciliations; sign contracts or send documents for signature via OneSpan; monitor Process Unity entries and status updates to issue PO’s
  • Training & Support – Train and support users for Purchase Requisition (PR) creation, provide spend information and help with access/limits; provide guidance on complex Purchase Order (PO) needs and purchasing policies, assist AP with invoice or PO issues; support branch staff with job aids and supplier ordering sites

 

Skills & Qualifications

 

  • Minimum of 4 to 6 years of Job-Related Experience; 3 to 5 years’ experience in an Analyst role
  • Completion of a Diploma Program (two years of formal education or equivalent) in Business, Procurement, Real Estate or Facilities Management
  • Must be comfortable reviewing procurement and lease contracts, understanding policies, processes and procedures
  • Advanced knowledge of Microsoft Office applications including Excel, Word, PowerPoint, PowerBI
  • Proficient with SharePoint and internal web page authoring and updating (myCoast sites)
  • Must possess strong communication skills, and tactful problem-solving skills to assist and support staff at all levels
  • Advanced time management, prioritization and ability to work to multiple deadlines - Proficient demonstrated ability to make sound critical decisions
  • Demonstrated ability to work effectively as part of a team as well as independently when required 
  • Proficient accuracy and thoroughness of work, requiring minimal oversight
  • Initiative: Works effectively with limited supervision and within established authorities; is proactive in identifying and pursuing tasks with energy, drive, and a need to “finish”; knows when and what to refer for guidance and/or approval
  • Collaboration: demonstrated ability to positively and productively engage and deal effectively with colleagues at all levels; builds constructive, mutually beneficial relationships, appropriate rapport and relates well to others
