What’s the job?

This position is responsible for all administration activities in support of the Syndication and Mezzanine services function within Commercial Lending Operations. The incumbent is also responsible for supervising administrators assigned to the Syndication function including monitoring performance, training and development. In addition, they are responsible for making recommendations with respect to hiring, disciplining and/or dismissal of employees. They are a key resource in providing high levels of customer service and technical and procedural expertise in the day to day operations of this area. They are a key liaison between internal and external stakeholders including the business lines, syndication partners and law firms. This position requires expert knowledge in all functional areas of the department and specialized knowledge in relation to agent responsibilities and complex lending structures. They are responsible for the accurate and efficient handling of all administration, reporting, processing and balancing, including exchange of information and files between internal and external partners. In addition, they are accountable for coordinating duties within the function to ensure high levels of productivity, quality support and service are maintained while operating in a high paced environment which includes time sensitive deadlines and large dollar transactions. They are responsible for creating and/or improving upon processes and procedures, implementing and supporting corporate objectives and providing subject matter expertise on behalf of the department. They also oversee the development and maintenance of some standalone systems, providing guidance and testing for improvements.


What you’ll get to do:

Monitor daily tasks including inquiries from internal and external partners, ensuring appropriate and timely response, providing feedback as required.

Ensure that processes and procedures are in place to ensure required documentation, security and/or notifications are captured, on file and meet the requirements of the facility agreement prior to proceeding with new fundings and/or draws.

Ensure timely receipt or delivery of supporting documentation occurs for all syndication, mezzanine and other agency related files as required

Works with the management team to identify areas for process improvement.

Responds positively to changes, challenges and new opportunities.

Actively identify areas that may be improved and present solutions for consideration.

Acts as subject matter expert for the development of new procedures and on projects as required.

Provides guidance, coaching and training in syndication and mezzanine financing.

Applies critical thinking when reviewing the inter-lender agreements to determine appropriate system set ups to meet terms and conditions.

Develop constructive working relationships and partnerships with management and support staff of other business units.

Builds relationships to ensure a consistent and high level of service delivery with the lines of business and syndication partners.

Oversees and contributes to the day to day operations of the syndication, mezzanine and agency function within the CLO department.

Provide input and insights on lending procedures and provide technical and procedural expertise to others. Recognize and develop opportunities to improve on department procedures and efficiencies.

Ensure quality assurance, risk management and compliance activities are completed in support of maintaining effective system controls.

Contribute to an environment of continuous improvement.

Research and develop requirements and effectively coordinate and communicate with other business areas.

Support corporate and department initiatives by coordinating the implementation of various programs/projects. Research and analyze data, develop requirements, determine process, perform quality

assurance and prioritize tasks to meet deadlines. Act as an in-depth resource, effectively coordinating and communicating with other business partners and outside service providers.

Follow through with all project work assigned ensuring all requirements are met.

Accountable for the review/verification process to ensure that all conditions precedent are met before any advancement of funds occurs.

Works in partnership with other lines of business and key stakeholders to ensure accuracy in reporting of information upon which others rely.


Who are we looking for?

Minimum Job-Related Experience

Minimum 7-9 years of Job related experience

7 years experience in Lending Administration, at least 3 years experience in Syndication, Mezzanine and/or Agency lending administration


Minimum Formal Education

High School Diploma plus completion of a Diploma Program (two years of formal education or equivalent).

Diploma in Business Administration or Accounting.


Minimum Technical Skill

Advanced knowledge of banking operations including risk management controls, techniques and practices in an administrative environment

Advanced proficiency in banking systems

Advanced proficiency in MS Office applications

Advanced proficiency in use of syndication tools and applications including but not limited to Syndtrak

Advanced knowledge of lending policies, procedures, processes and practices

Solid knowledge of banking (including lending) products and services.
